# ICPH Platform Terms and Conditions

## 1. Introduction
Welcome to the official ICPH digital platform.
These Terms and Conditions govern the access to and use of the ICPH platform, including its public pages, member services, zone pages, public verification system, interactive zone directory, event management tools, QR-based attendance system, event photo albums, support services, sponsor pages, administrative functions, and other related services made available through the platform.
By accessing, browsing, registering for, or using any part of the platform, users agree to use the service lawfully, responsibly, respectfully, and in accordance with these Terms and Conditions and other applicable ICPH policies.
These Terms apply to visitors, members, Zone Managers, Zone Leaders, administrators, officers, authorized ICPH leadership, and any other person accessing or using the platform.
Use of certain features may be subject to additional rules, permissions, or requirements established by ICPH leadership.

## 2. Purpose of the Platform
The ICPH platform is intended to provide a centralized digital system for managing and supporting official ICPH organizational activities.
The platform may provide features for:
* Membership management;
* Member identity verification;
* Zone management;
* Zone directories and interactive maps;
* Zone information and statistics;
* Event creation and management;
* QR-based event attendance;
* Attendance verification;
* Event photo albums;
* National and local event information;
* Sponsor information;
* Support communications;
* Public organizational information;
* Administrative management; and
* Other services approved by authorized ICPH leadership.
The availability of a particular feature does not guarantee that it will remain available permanently.
ICPH may introduce, modify, restrict, replace, suspend, or discontinue platform features as organizational requirements change.

## 3. Acceptance of These Terms
By using the ICPH platform, users acknowledge that they have read and understood these Terms and Conditions and agree to comply with them.
Users who do not agree with these Terms should discontinue use of restricted platform services.
Accessing publicly available information does not grant a visitor ownership of, administrative authority over, or unrestricted rights to use information displayed through the platform.

## 6. Zone Managers and Zone Leaders
Zone Managers, Zone Leaders, and other authorized zone officers may receive additional platform permissions based on their organizational responsibilities.
These permissions may include the ability to:
* Manage approved zone information;
* Update zone descriptions;
* Manage zone media;
* Define or update zone coverage information;
* Create and manage events;
* Generate event QR codes;
* Review attendance;
* Manage event photographs;
* Publish approved event albums;
* View permitted zone statistics;
* Manage approved local sponsor information; and
* Perform other authorized zone-level functions.
Additional access comes with additional responsibility.
Zone Managers and Zone Leaders are responsible for ensuring that information, photographs, descriptions, links, event details, sponsor information, and other materials they submit are reasonably accurate and appropriate.
Administrative access must only be used for legitimate ICPH activities.

## 7. Responsibility for Submitted Information
Users are responsible for information they knowingly submit to the platform.
Users must not intentionally submit:
* False information;
* Fraudulent membership records;
* Misleading event information;
* Fabricated attendance records;
* Impersonated identities;
* Unauthorized personal information;
* Malicious links;
* Illegal materials; or
* Content intended to damage the organization, platform, or another person.
Authorized administrators may review, correct, restrict, remove, or reject information when reasonably necessary.

## 8. Public Member Verification
The platform may provide a public verification system allowing visitors to verify limited information concerning ICPH membership or credentials.
Public verification is provided for informational and verification purposes only.
Verification results must not be misused for:
* Harassment;
* Stalking;
* Identity theft;
* Fraud;
* Unauthorized profiling;
* Mass data collection;
* Automated scraping;
* Commercial exploitation;
* Impersonation;
* Threats;
* Discrimination; or
* Other unlawful or harmful activities.
The availability of information through a public verification page does not authorize unrestricted collection, redistribution, reproduction, resale, or creation of independent databases containing ICPH member information.

## 9. Event Creation and Management
Authorized users may create events through the platform according to their assigned permissions.
Event organizers are responsible for providing reasonably accurate information, including where applicable:
* Event title;
* Description;
* Date;
* Time;
* Venue;
* Event category;
* Attendance requirements;
* Location verification requirements;
* Event images; and
* Other relevant event information.
Events must not be created for fraudulent, illegal, deceptive, or unauthorized purposes.
ICPH leadership may modify, restrict, cancel, archive, or remove event listings when reasonably necessary.

## 10. QR-Based Attendance System
Certain events may use a QR-based attendance system.
Participants may be required to scan an authorized event QR code and provide information necessary to validate their attendance.
Users must not intentionally manipulate the attendance system.
Prohibited activities may include:
* Submitting attendance for another member without authorization;
* Sharing restricted attendance credentials for fraudulent purposes;
* Creating fake attendance submissions;
* Automating attendance requests;
* Manipulating location information;
* Reusing attendance credentials improperly;
* Circumventing duplicate attendance protections;
* Altering QR codes;
* Creating unauthorized copies of official event QR codes; or
* Attempting to interfere with attendance records.
Attendance may be rejected, removed, or marked for review when the system or an authorized administrator identifies suspicious or inconsistent information.

## 11. Attendance Verification
Attendance records may be subject to verification.
Depending on the event, verification may involve:
* Membership information;
* Badge number;
* QR code;
* Attendance timestamp;
* Attendance photograph;
* Venue information;
* Optional location verification; or
* Other reasonable verification mechanisms.
Submission of an attendance record does not necessarily guarantee that attendance will be permanently accepted.
Authorized event managers may review questionable submissions and may reject fraudulent, duplicate, invalid, or inappropriate attendance records.

## 12. Attendance Photos
Certain events may require or permit attendance photographs as supporting evidence of participation.
Attendance photographs must genuinely relate to the applicable event or attendance submission.
Users must not submit photographs containing prohibited or inappropriate material.
Prohibited content may include:
* Illegal content;
* Explicit sexual content;
* Graphic violence;
* Threatening material;
* Harassing content;
* Hateful or discriminatory content;
* Deliberately deceptive photographs;
* Unrelated advertisements;
* Malicious QR codes or links;
* Content violating another person's reasonable privacy;
* Material intended to impersonate another participant; or
* Other content deemed inappropriate for the platform.
Attendance proof photographs are considered private unless an authorized manager explicitly approves a photograph for public publication.

## 13. Event Photo Albums
Authorized Zone Managers, Zone Leaders, administrators, or other approved officers may publish photographs as part of an official event photo album.
Publishing an event photograph should be a deliberate administrative action.
A photograph uploaded for attendance verification should not automatically become publicly available.
Authorized managers are responsible for reviewing photographs before publication.
ICPH leadership may remove published photographs when they are inappropriate, misleading, unauthorized, unrelated to the event, or otherwise inconsistent with ICPH policies.

## 14. Location Verification
Some events may enable optional venue or location verification.
When enabled, participants may be asked to allow their browser or device to provide location information to determine whether they appear to be within the permitted event area.
Users must not deliberately manipulate, falsify, spoof, or circumvent location verification.
Location verification is intended to support legitimate attendance validation and should not be interpreted as a guarantee of a participant's identity or physical presence.
Technical limitations involving GPS, mobile devices, browsers, connectivity, or location services may affect accuracy.

## 15. Interactive Zone Map
The platform may display an interactive map showing approved ICPH zones and their approximate geographic coverage.
Zone boundaries displayed through the platform are intended primarily for organizational and informational purposes.
Unless specifically declared otherwise by authorized ICPH leadership, displayed boundaries should not be interpreted as official government, legal, property, political, or administrative boundaries.
Authorized Zone Managers should ensure that submitted zone coverage information reasonably reflects the area recognized by ICPH.
Disputes regarding overlapping or conflicting zone coverage may be referred to authorized ICPH leadership for review.

## 16. Uploaded Content and Media
Users who upload photographs, graphics, logos, documents, videos, promotional materials, or other content represent that they have the necessary authority or permission to submit that material.
Users must not knowingly upload content that infringes copyrights, trademarks, privacy rights, or other applicable rights.
ICPH may remove or restrict uploaded content when there is a reasonable concern regarding ownership, authorization, security, legality, appropriateness, or organizational policy.

## 17. Sponsor Information and Third-Party Links
The platform may display official national sponsors, local zone sponsors, partner organizations, or other approved third-party information.
Sponsor cards or pages may contain links directing users to external websites, social media pages, stores, applications, or services.
These external services are operated independently from the ICPH platform unless explicitly stated otherwise.
ICPH does not automatically control the content, security practices, privacy policies, availability, products, services, transactions, or actions of third-party websites.
Users should review the applicable terms and privacy practices of third-party services before providing personal information or completing transactions.

## 18. Support System
Authorized accounts may have access to a support ticket or communication system.
The support system should be used for legitimate concerns involving membership, zones, events, accounts, technical problems, administrative matters, or other ICPH-related concerns.
Users must not use the support system to:
* Send spam;
* Harass administrators;
* Submit threats;
* Send malicious files;
* Repeatedly submit intentionally false reports;
* Impersonate another person;
* Attempt to obtain unauthorized information; or
* Abuse platform personnel.
Support communications may be retained as necessary for administrative, security, dispute-resolution, and organizational purposes.

* Scrape restricted information;

* Upload malicious files;
* Inject unauthorized scripts or code;
* Impersonate ICPH leadership; or
* Use platform services for fraudulent purposes.
Authorized security testing may only be conducted with appropriate permission from ICPH leadership.

## 20. Automated Access and Data Collection
Automated collection of platform information may be restricted.
Users must not operate bots, crawlers, scripts, scrapers, automated account systems, or similar technologies to collect restricted platform information without authorization.
ICPH may implement technical measures including rate limits, request validation, authentication requirements, CAPTCHA systems, session controls, and other safeguards designed to prevent abuse.

## 21. Account Suspension or Termination
ICPH may temporarily restrict, suspend, disable, or terminate an account when reasonably necessary to protect the organization, platform, members, or information.
Reasons may include:

* False membership information;

The inclusion of a third-party link does not necessarily constitute a guarantee or endorsement of every product, service, statement, transaction, or activity offered by that third party.
Users interact with external services according to the terms and policies of those providers.

## 30. Limitation of Platform Responsibility
To the extent permitted under applicable rules and law, ICPH will make reasonable efforts to maintain the platform but cannot guarantee that the service will always be error-free, uninterrupted, completely secure, or available on every device.
ICPH should not be held responsible for problems resulting solely from circumstances outside its reasonable control, including third-party outages, device failures, internet connectivity problems, unauthorized user actions, or external service disruptions.

All visitors, members, Zone Managers, administrators, and other authorized users are expected to use the platform responsibly and with respect for other members, organizational information, security, and privacy.
Public verification information is provided for legitimate informational purposes and must not be exploited or misused.
Attendance records and photographs must be authentic and relevant to the applicable event. Private attendance proof photographs must remain private unless an authorized manager deliberately approves appropriate media for public publication.
Zone Managers and other authorized officers are responsible for information and media they submit or publish through their administrative access.
Third-party sponsor links and external services remain subject to the terms and practices of their respective providers.
ICPH reserves the ability to restrict access when reasonably necessary to address misuse, fraud, unauthorized access, security concerns, or violations of applicable organizational policies.
As ICPH and its digital services continue to develop, features and policies may be modified to improve security, privacy, reliability, administration, and member experience.
